Preamble
PleasureDrome GH is a private social club that unites open-minded individuals through dynamic lifestyle experiences, entertainment, and creative expression. The Club promotes a vibrant, respectful, and inclusive community centered around connection, joy, and personal freedom.
PleasureDrome GH embraces diversity in all forms, fostering a safe and affirming space for all who respect its values of inclusivity, respect, and creative freedom.
Article 1: NAME
The official name of the organization shall be PleasureDrome GH, herein referred to as The Club.
Article 2: MISSION & PURPOSE
A. To foster meaningful connections and shared experiences.
B. To promote artistic expression and lifestyle adventures through organized events.
C. To create a safe, respectful, and discreet environment for social interaction.
Article 3: MEMBERSHIP
A. Eligibility
- i. Open to adults (23 years and above) who align with the Club’s mission, values and Code of Conduct.
B. Application & Approval
- i. Prospective members shall complete the official membership form and submit it to the Welfare Lead or Co-ordinating Team.
- ii. Applications will be reviewed, with approval requiring a simple majority vote of the Co-ordinating Team.
- iii. Applicants may be invited for an informal orientation or meet-and-greet before confirmation.
C. Membership Tiers
- i. The Co-ordinating Team may establish tiers with defined benefits such as early event access or discounted tickets.
- ii. Tier structures and benefits shall be documented in a separate schedule, reviewed annually.
D. Rights and Responsibilities
i. Rights
- Attend Club events and participate in activities.
- Vote on issues presented to the general membership.
- Propose initiatives or amendments through the Welfare Lead.
ii. Responsibilities
- Uphold the Code of Conduct and values of discretion and respect.
- Keep membership and event matters confidential.
- Fulfill financial commitments related to membership fees or event contributions.
E. Membership Fees and Contributions
- i. The Club may charge membership fees, event-based contributions, or special assessments to support operations, events, and initiatives.
- ii. Members will receive at least 30 days’ notice before any new fee or change is implemented.
- iii. Payment plans or partial waivers may be considered on a case-by-case basis to ensure inclusivity.
- iv. Failure to meet agreed-upon contributions within stipulated time of notice may result in temporary suspension of membership privileges until resolved.
- v. No fees are refundable after payment unless otherwise specified by the Co-ordinating Team.
F. Suspension, Revocation, Appeals and Resignation
- i. Members violating the Code of Conduct or other regulations may face disciplinary action under the Conflict Resolution Procedure.
- ii. Suspended or revoked members may appeal within 7 days to the Co-ordinating Team.
- iii. A member may resign at any time by submitting written notice to the Co-ordinating Team. No fees will be refunded.
Article 4: GOVERNANCE
A. Co-ordinating Team
Responsible for managing Club affairs, events, and strategic direction.
B. Key Roles/Designation
- i. Coordinator & Creative Director
- ii. Events Lead
- iii. Welfare Lead
- iv. Finance & Administration Lead
- v. Culture & Experience Lead
- vi. Co-opted officer(s) who may be appointed for specific roles
Responsibilities of the Co-ordinating Team Members
i. Coordinator & Creative Director
- Provide overall leadership and direction for the Club.
- Chair Co-ordinating Team meetings and serve as the official spokesperson.
- Oversee the creative vision and ensure alignment with the Club’s mission.
- Facilitate decision-making and exercise tie-breaking authority when required.
- Represent the Club in external engagements, partnerships, and collaborations.
ii. Events Lead
- Plan, coordinate, and execute all Club events and activities.
- Ensure events are inclusive, safe, and aligned with the Club’s values.
- Work with the Finance Lead to prepare event budgets.
- Manage logistics, vendors, and venues for all programs.
- Gather feedback after events to improve future experiences.
iii. Welfare Lead
- Oversee the well-being and engagement of members.
- Address member concerns, complaints, and disciplinary issues in line with the Code of Conduct.
- Promote a safe, respectful, and inclusive environment.
- Coordinate support for members during personal or community-related challenges.
- Foster a sense of belonging and harmony within the Club.
iv. Finance & Administration Lead
- Manage the financial affairs of the Club with transparency and accountability.
- Maintain accurate records of income, expenses, and assets.
- Prepare financial reports and annual summaries for review.
- Handle administrative duties, including documentation, correspondence, and membership records.
- Support fundraising, sponsorships, and partnerships.
vi. Culture & Experience Lead
- Curate event themes, aesthetics, and sensory elements (music, decor, lighting) to align with PleasureDrome’s brand and values.
- Collaborate with the Events Lead and Creative Director to craft immersive, memorable experiences.
- Document and safeguard Club traditions, rituals, or signature activities for continuity and identity.
- Collaborate with Events Lead to gather post-event feedback specifically on the vibe and cultural feel to improve future experiences.
- Advise the Co-ordinating Team on emerging cultural trends and creative opportunities.
vi. Co-opted Officers
- Appointed by the Co-ordinating Team to provide expertise or lead specific initiatives.
- Carry out duties as defined in their appointment letter or terms of reference.
- Report progress and outcomes to the Co-ordinating Team.
D. Decision-Making
Collaborative decisions are encouraged. The Coordinator holds tie-breaking authority.
E. Meetings
- i. The Co-ordinating Team shall meet quarterly.
- ii. Club-wide meetings may be called for community engagement.
Article 5: ACTIVITIES AND EVENTS
A. Club activities may include game nights, lifestyle-themed gatherings, wellness sessions, road trips, getaways, curated travel and social hangouts.
B. The Club may also assist with or collaborate in organizing private and exclusive events for members and strategic partners.
C. Events are by invitation or ticketed, designed for exclusivity and comfort.
D. All activities must prioritize safety, creativity, and mutual respect.
Article 6: CODE OF CONDUCT
A. All members and guests must act respectfully and responsibly.
B. Harassment, coercion, or abuse of any kind is prohibited.
C. Breaches of conduct may lead to removal from events or membership termination.
Article 7: CONFLICT RESOLUTION AND DISCIPLINARY REVIEW
A. Reporting: Any member may submit a complaint about a conflict or breach to the Welfare Lead.
B. Initial Mediation: Welfare Lead attempts informal mediation within 7 days.
C. Formal Review: If unresolved, a Conflict Review Panel of three Co-ordinating Team members (excluding involved parties) investigates.
D. Decision: The panel delivers a decision within 14 days, which may include warnings, suspension, or termination.
E. Appeals: Members may appeal within 7 days to the Co-ordinating Team; the Team’s decision is final.
Article 7: DATA PRIVACY & CONFIDENTIALITY
A. The Club shall collect only essential member data for administration.
B. Personal information, images, and event details shall not be shared outside the Club without consent.
C. Breaches of confidentiality may result in disciplinary action, including suspension or termination.
D. Members agree to respect others’ privacy by not sharing identifying details, photos, or recordings without permission.
Article 9: FINANCIAL MANAGEMENT
A. Club revenue may include membership fees, ticket sales, donations and partner contributions.
B. The Finance Lead shall oversee accounts transparently with documented records.
C. Funds will support Club operations, events, and strategic initiatives.
D. An annual financial summary may be prepared for internal review.
Article 10: SPONSORSHIPS AND PARTNERSHIPS
A. Collaborations must align with the Club’s mission and be approved by the Co-ordinating Team.
B. Written agreements are required for external sponsorships.
Article 11: AMENDMENTS
The Constitution and Bylaws may be amended by a two-thirds majority vote of the Co-ordinating Team after extensive consultation with the general membership.
Article 12: DISSOLUTION
In the event of Club dissolution, remaining funds after all obligations shall be allocated to a cause or organization aligned with the Club’s values, or distributed at the discretion of the Co-ordinating Team.
Article 13: PROMULGATION AND EFFECTIVE DATE
This document serves as the governing framework of PleasureDrome GH and may be used in official registration or legal recognition processes.
The Constitution and Regulations of PleasureDrome GH shall be deemed duly adopted and shall take effect on the 1st day of June, 2025 following its approval by the Co-ordinating Team and adoption by members.
From this date, it shall serve as the governing document for all activities and operations of the Club, member conduct and structural matters unless lawfully amended.
